Executive Assistant to the CEO

Windmill Digital is looking for a proactive Executive Assistant to provide comprehensive administrative and executive support to our CEO. This role involves working closely with our Leadership team, serving as a crucial point of contact for both internal and external stakeholders on all matters pertaining to the CEO.

Key Responsibilities:

Executive Support:

  • Manage CEO’s Calendar: Assist with daily administrative duties including managing an active calendar of appointments, completing expense reports, and arranging travel plans.
  • Communication on CEO’s behalf: Attend meetings in the CEO’s absence, communicate with the general staff, and coordinate logistics for high-level meetings.
  • Support the Leadership Team: Work closely with our Leadership team, offering proactive support including administrative assistance, travel arrangements, and expense processing.
  • Maintain Confidentiality: Ensure the protection of operations by keeping information confidential. Comply with data protection legislation, manage company files, and oversee the archiving or disposal of documents when appropriate.

Leadership Team Support:

  • CEO’s Administrative Liaison: Act as the administrative link to the Leadership team, manage activities via coordinating meetings and receptions; arranging hotel accommodations; and processing travel reimbursement requests.
  • Meeting Coordination: Assist in scheduling and attending meetings, coordinate the agenda of senior management team meetings, and prepare accounts of the meetings.


  • Minimum 3 years of experience in a similar role supporting executive-level management. Experience in the IT or tech industries will be highly regarded.
  • Strong organizational skills with the ability to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proficiency in Microsoft Office Suite including Excel, PowerPoint, Teams, and SharePoint.
  • Exceptional presentation, communication, and interpersonal skills.
  • Ability to work independently and with professional discretion.
  • Advanced proficiency in English, French and German.
